Etsy - How to Delete, Edit, or Change Note to Buyer on Shipping Notification

ETSY:  How to Delete, Edit, or Change Note to Buyer on Shipping Notification?

For some reason, editing the Etsy Note to Buyer on the shipping email is one of the most difficult, convoluted things to accomplish if you have an Etsy shop, and it is nearly impossible to find a Help article on Etsy to guide you.  There are quite a few steps to accomplish this task, but with the directions below, your life will be so much easier and there will be no more incorrect messages going out to your customers.


*UPDATE*  The UK and Australia now have Etsy shipping labels.  If you are in one of these countries, the directions for USA and Canada to edit your note BEFORE your next order may work, but I have not tested it. 

*UPDATE #2*  If you have an old Default Note, the new Etsy system (released in spring 2019) will not allow you to delete it!  So, just add a new note with a new name, and it will be there the next time you need a label.


 

This article will be broken down into three main sections: 

  • Edit Note BEFORE your next order (USA & Canada only)
  • Edit Note during CURRENT order using Etsy shipping labels
  • Edit Note during CURRENT order using Mark As Shipped / Dispatched

 

Edit Note BEFORE Your Next Order   (USA & Canada Only)

Accessing the Note to Buyer that is sent with Etsy's shipping notification email can be accessed BEFORE your next order.  However, since it is accessed via Etsy shipping labels, it is only available to those in the USA and Canada at this time.  Don't worry, you'll be able to exit out without purchasing a label. 

If you are outside the USA and Canada, you can still edit the note, but you'll have to do it with a current order, so please scroll down to the section entitled, "Edit Note during CURRENT order using Mark As Shipped / Dispatched."

1.  Go to Shop Manager and click Orders & Shipping.

2.  Click the Completed tab.

3.  Locate a previously shipped order, and click the little mail truck icon pointed out below to open the shipping label window -- as if you are going to purchase a label, but don't worry, you can exit out before purchasing.

4.  On the right side of the screen next to "Note to buyer" click EditMake your changes*, then click the square message bubble in the bottom left below the message field. (See arrow pointing below)

The window drops down; scroll down and click "+ Save as a new snippet."  Give it a name, click Save. Click Save again. 

* TO DELETE MESSAGE ENTIRELY:  Erase all text in your current message.  You actually must save something here and spaces do not work. Saving a period (.) is the least noticeable and looks blank.  Continue with the remainder of #4 above after "Make your changes*, . . . "

TO CHOOSE A DIFFERENT SNIPPET:  Click Edit and then the square message bubble, and in the drop-down menu click the desired snippet.  Click Save.

TO DELETE SNIPPETS:  Click Edit and then the square message bubble and then "Manage snippets."  Click the trash can icons of all messages to be deleted.  Then click Done and Save

 

5.  Exit out from the shipping label screen by clicking Cancel in the lower left of screen.  Your new note will be there next time you purchase a label or mark an order shipped / complete.

 

Edit Note During CURRENT Order Using Etsy Shipping Labels

1.  Locate your current order under the New tab on the Orders & Shipping page, and click the mail truck icon to "Get Shipping Labels."

2.  Complete Step 4 above, and complete the label purchase.

 

Edit Note During CURRENT Order Using Mark As Shipped / Dispatched

1.  Go to Shop Manager and click Orders & Shipping.

2.  From the New orders tab, locate the order to be marked as shipped / dispatched.

3.  Click the icon that looks like a circle with check mark inside as pointed out below.  Hovering over the icon with your mouse, it might say "Update progress" or it might say "Mark as Complete."  

        

4.  If you have the "Mark as complete" icon, it will take you directly to the shipping page.  (Skip to Step 5.)  If it says "Update progress," click the Mark complete button as seen below.  

5.  A window will open to give you the option to add a tracking number, shipping provider, ship date and a Note to buyer(s)To edit the Note to Buyer, on the far right next to the pencil icon click Edit.   Make your changes*, then click the square message icon on the left below the message field. In the drop down menu choose "+ Save as a new snippet."  Give it a name, click Save. (To make this your default note, click Set default note.)  Click Save Note.

TO DELETE SNIPPETS:  Click Edit and then the square message bubble and then "Manage snippets."  Click the trash can icons of all messages to be deleted.  Then click Done and Save Note


6.  Click "Mark order(s) complete."  Your new note will be there next time you mark your order shipped / dispatched.

Thank you SO MUCH for this. An old note to a buyer named Karin kept haunting me and getting sent to all my buyers. It was embarrassing and Etsy help could not fix it. Deleting everthing but a period and naming the snippet, then deleting the message worked perfectly.

I have seen the options like

I have seen the options like attaching a note to the seller at the time of purchase from an online store. But never have I seen an option where it was possible for the seller to attach a note for the buyer.

I have been a seller since 2005 but, I recently opened a new shop and started using Etsy labels for the first time. I know how to find and edit the note when I am taking care of the shipping myself but, I have just spent the better part of the morning trying to find this info. Thanks so much for putting it out there.

I know that you can keep up to 10 notes - ie for different shipping methods or products - would you know how to create new ones to have ready?
